Scope/Impact
Provides clerical support for the clinic in the role of a Receptionist. Responsible for scheduling appointments for clinic patients and full registration process for visits. Greets and assists patients and visitors. Performs general clerical duties.
Job Functions
- Greets and assists patients and visitors upon arrival in a friendly, courteous and professional manner.
- Acknowledges the presence of patients/visitors and notifies the medical professional of their needs.

- Answer telephones in a timely and professional manner, routes calls to appropriate person or takes complete and accurate messages.
- Routes visitors to appropriate place and person.
- Schedules appointments for clinic patients with detail of reason for visit being obtained and documented.
- When making appointments over the telephone, read appointment time and date back to the patient to ensure proper understanding.

- Ensure patient is properly checked in to the EMR upon arrival to the clinic.
- Ensures patient is properly registered with demographic and insurance information reviewed and updated on every visit.
- Obtain and verify insurance coverage information.
- Ensures that EMR includes all appropriate forms including patient demographic sheet, HIPAA form, and copies of all insurance cards.
- Hand out Texas Health Step forms for adult completion upon arrival for THS visits and receive copy of child current Medicaid card, shot record, and Immtrac form.

- Maintain files as assigned by the supervisor with appropriate update of all information and compliance forms.
- Upon check in, request patient co-pays or self pay payments prior to visit. Let patient know the collected amount for self pay clinic visit doesn’t include shots and other procedures that may be ordered and given during the clinic appointment. Once collections occur, follow cashier process to process deposits and turn in daily. Its expected to have no discrepancies in your collections. Please pay attention.
- Monitors the clinic lobby and notify nurse or provider if a patient needs immediate medical attention.
- Monitors the clinic lobby and give patients updates that are waiting more than 15 minutes after their appointments.

- Add messages from patients for both for clinical questions/requests as well as medication refills to the providers for them to process the requests.
- Keep clinic reception area & lobby neat and clean and free of clutter.
- Must be able to effectively communicate with co-workers, staff, patients and visitors.
- Perform any other duties as required or assigned by supervisor.
Education Required
Required: High school diploma or equivalent
Preferred: Some college preferred
Amount and Type of Experience
Required: NA
Preferred: One year of office work experience in a physician’s office preferred.
Knowledge of medical terminology beneficial.
