Accounts Payable Clerk CCMC


The A/P Clerk is responsible for all aspects of the accounts payable function.


Job Functions

  1. Matches purchase orders to invoices and enters the invoices into the software according to department policies and deadlines.  Identifies errors or discrepancies and resolves before processing.
  2. Enters new or updates vendor payment information, sends W-9 to vendor, and set up vendor number.
  3. Processes disbursements to vendors based on reconciliation of invoices, purchase orders and receiving documents.
  4. Reviews invoices to take advantage of credits or discounts.
  5. Obtains required signatures on accounts payable checks and prepare all remittance information to be mailed with the checks
  6. Disburses checks to vendors in a timely manner.
  7. Maintains Accounts Payable records as required by departmental policy and retention guidelines.
  8. Records all invoices, adjustments, and payments in the accounts payable system.
  9. Maintains an efficient filling system as required.
  10. Researches and resolves any outstanding balances on accounts, including telephone, mail, or email communications with vendors, managers, and others as needed.
  11. Compiles reports on accounts payable activities as needed by Administration.
  12. Ensures that necessary information is maintained to ascertain which vendors are subject to 1099 reporting and generate 1099 forms.
  13. Assists in annual audit by preparing assigned reports or providing documentation as directed by the Controller or CFO.
  14. Communicates with all departments to ensure timely and accurate payment to all vendors.
  15. Maintains HIPAA required and all other confidentiality while working with confidential matters on a daily basis.
  16. Abides by Legal Compliance Policy Program of the Medical Center.

Education Required


High school diploma or equivalent





Amount and Type of Experience

Required: Typing skill of 45 wpm, operation of ten key calculator. Familiarity of personal computers and knowledge of general clerical duties.


Preferred:   Accounts payable in medical setting experience preferred.
